Should Businesses Build Their Own Virtual PBX or Rent a Virtual PBX Service?
Reading time: 4 minutes
Today, virtual PBX systems are gradually replacing traditional PBX systems. Their superior features and technology offer a high degree of flexibility, meeting virtually all business needs. This has given rise to an important question: Should businesses build their own virtual PBX or rent a service from a third party?
If your business is facing the same dilemma, read the following article to help you make the most informed decision for your business.
So What Is a PBX? And Why Do Businesses Need to Use One?
A PBX is understood as a system that enables end-point devices to communicate with each other through internal extension numbers and outbound calls via network carrier subscriptions. Businesses typically use one of the following two types of PBX:
Analog PBX (also known as a Traditional PBX): This is a traditional circuit-switched telephone network. When a customer registers a phone number, the network carrier runs a trunk line directly to the customer (a postal line). The customer then connects this to an Analog PBX located at the company’s own office in order to configure and distribute internal extensions directly on the system.
Virtual PBX (IP PBX): This is a business telephone system hosted on servers in off-site data centers and delivered via the internet. A virtual PBX provides more features than a traditional telephone system, while also allowing non-technical administrators to set it up with ease.

Should Businesses Build Their Own or Rent a Virtual PBX?
For any business, a PBX is an essential and indispensable component. Without one, each employee would have to use their own personal phone number, leading to complications when handling both internal calls and customer calls. It also becomes very difficult to synchronize and centrally manage information.
Today, virtual PBX systems are gradually replacing older systems in order to meet the constantly evolving needs of businesses.
Should Businesses Build Their Own or Rent a Virtual PBX Service?
Given the benefits that a virtual PBX offers, as well as its importance, owning a PBX system is a necessity. So should a business build its own IP PBX or rent one and pay on a monthly basis?
Option 1: Building Your Own IP PBX
With this option, the business has full autonomy over all aspects of administration. The business only needs to pay for the initial equipment investment and can use the system long-term without any recurring monthly subscription fees.
The system also offers a higher level of security since there is no third-party involvement. However, the business would need to invest in almost all of the equipment — including the IP PBX, IP phones, and connection infrastructure — which represents a considerably large cost for small and medium-sized businesses.
In addition, the business must allocate additional resources and budget for its IT staff, as keeping the system updated will depend entirely on the in-house IT team’s level of expertise.
Option 2: Renting an IP PBX
This option offers businesses the following benefits:
- Deployment is fast and straightforward, with low initial investment costs and minimal spending on equipment.
- System administration is handled by a third party, so the business does not need to spend extra on staffing to operate the system.
- No concerns about maintenance, servicing, or equipment depreciation.
- When renting a PBX, the business will need to pay a monthly subscription fee. However, this cost is relatively low and can be scaled based on the business’s current needs.
- Since the system is a rented service, security assurance lies with the third-party provider. Businesses should pay close attention to security terms and conditions when entering into a partnership to ensure that data is always protected.
With the strengths and weaknesses of each option in mind, OMICall hopes that you are able to make the right choice that best fits the needs of your business.
