5 reasons for the failure of the Vietnam Call Center.

Call center operators have an interesting job that determines conversion rates and directly impacts a company’s revenue. They frequently make calls to customers every day, so being rejected is unavoidable.

However, being rejected too many times, with such high frequency and regularity, certainly indicates that some mistake was made during the call.

Let’s explore some of the reasons why call center operators fail!

5 Reasons Why Call Center Operators Fail

5 Reasons Why Call Center Operators Fail

Lack of trust

When customers give reasons for rejecting a call, it means the call center agent hasn’t built trust or hasn’t provided enough convincing reasons about the superior value the product offers. The challenge lies in making them believe the product is truly necessary. If trust isn’t established from the first call, subsequent calls will be extremely difficult. They might even block the number because they find it annoying.

Each company should only use one hotline number. Using too many numbers can make customers think the company is unreliable or even fraudulent. Simultaneously, a sincere tone and attitude are essential to build trust.

Especially for specialized products and services, no call is successful on the first try. But the first impression will create goodwill for subsequent calls. Therefore, build trust with your customers.

Having an awkward conversation

Effective communication is truly an art that requires both learning and practice. You shouldn’t be harsh or raise your voice if the customer doesn’t fully understand the product/service. Therefore, you must speak gently and patiently, explaining everything in detail until the customer understands.

When customers give feedback about a product/service, respect them, listen, and don’t interrupt. That’s one of the reasons they get annoyed and may hang up immediately afterward.

Do not be harsh or raise your voice with customers.

Speak softly and politely, showing respect. But don’t try to be overly sweet. Make it a habit to smile; it makes your voice warmer and creates a comfortable, friendly atmosphere for conversation.

There is no script for the call.

It’s essential to prepare a call script to avoid feeling flustered when asked about product/service pricing, key features, usage instructions, and maintenance. However, this doesn’t mean you should repeat the script word for word. Instead, you should speak naturally, introducing the product/service directly and simply so the customer can easily understand it.

Instructional call scripts need to be written specifically for the company and its work environment.

No target customer segmentation

Another reason for failure is the failure to segment target customers into distinct groups. This negatively impacts the consultation process because it doesn’t reveal their actual needs at the present moment. Misidentifying their needs effectively leads to a failed consultation.

The customer funnel can be segmented into categories such as: New customers, customers with needs, customers currently under contract, and customers who have signed contracts, in order to understand their specific needs. This allows for the development of appropriate call scripts, boosting the sales conversion rate.

Furthermore, it’s crucial to have clear information to avoid mistaking Mr. A for Mr. B, and to understand their needs and preferences. The first sentence in the greeting script should be varied frequently. Don’t repeatedly use the same phrase like, “Hello, is this Mr. A’s phone number?” Instead, change it to, “Hello, Mr. A, I’m… from (the company) and we have a special offer…”.

When speaking without sufficient information or a clear script, it’s very difficult to persuade customers.

Target customer segmentation

Working without organization and clear notes.

In a single day, you receive a large number of incoming and outgoing phone calls. Without proper organization and management, call information can become overwhelming. Remembering customer information, tracking who you called, and discussing product/service topics are all good ways to organize and record information.

During or after a call, carefully note down the details of the call and what to do next. Information that should typically be noted includes:

  • When did you call?
  • Who did you speak to/What is their personal information?
  • What did you discuss?
  • What do you need to call about and when should you call?
  • Information about customer needs, wants, and ability to pay.

However, nowadays, virtual call center applications  help store customer information through  CRM software . They store the entire history of interactions with customers: notes, calls, and messages are all recorded. This makes it easy to control the quality and frequency of interactions with customers.

The above are some reasons for call center agent failures that you should be aware of to help reduce call rejections. Hopefully,  OMICALL ‘s sharing  can be helpful in persuading customers.
